Reading the result: your real WordPress maintenance cost
The margin figure is the number that matters. Revenue tells you how big the operation is; margin tells you whether it works.
- Under 25 percent: the plan is barely covering its own labour. Raise the price or reduce hours per site. This is more common than people expect, particularly on plans priced years ago.
- 25 to 50 percent: workable but fragile. One incident or one long support conversation absorbs the month on that account.
- 50 to 70 percent: healthy. Roughly where a well-run care plan sits once routine work is automated.
- Above 70 percent: strong. Worth checking the plan still contains enough visible value that clients renew comfortably.
Where the reclaimed-time estimate comes from
Across early access portfolios, automation absorbs roughly 62 percent of routine maintenance: checking for updates, applying them, verifying the result, managing backups, triaging alerts and assembling reports. Judgement work, client conversations and development are excluded, because they are not automatable and pretending otherwise would make the number useless.
Your own figure depends on how much of your current time is genuinely routine. Someone spending most of their maintenance hours on client conversations will reclaim less. Someone spending them logging into wp-admin will reclaim more.

The revenue and cost arithmetic is exact. The reclaimed-time figure is an estimate based on automation absorbing roughly 62 percent of routine portfolio maintenance across early access accounts. Your own figure will vary with how much of your work is genuinely routine, so treat it as a guide rather than a promise.
Not your billing rate. Your effective cost is what an hour of delivery genuinely costs you, including non-billable time, tools, overhead and the fact that not every working hour is chargeable. For most freelancers it is 50 to 70 percent of the billing rate. For agencies with salaried staff it is the fully loaded cost of the person doing the work.
Measure it rather than guessing, because estimates are almost always low. Include update checking and applying, backup management, responding to alerts, support conversations and report assembly. Most people who measure honestly land between 1 and 2 hours per site per month.
55 to 75 percent gross margin is healthy for a care plan once routine delivery is automated. Below 40 percent the plan is fragile enough that a single incident wipes out the month on that account.
